Set up each dealership's booking page: rep assignment, appointment types, the customer form, the service menu, and trackable booking links. Reminders live on the Customer messages page.
Everything on this page is set per dealership: each dealership in your group configures its own booking rules, appointment types, form, and links. Open Settings → Booking and use the dealership switcher (the store row at the top of the left menu) to pick which store you're editing. The page is one long scroll of numbered sections (Appointment types, Rep assignment, Your booking page, which holds the welcome message and the form fields together, and the Service menu), with a scroll-spy list on the left to jump between them, and the Links manager stacked at the bottom of the same scroll. (Who owns a new lead is not a booking rule: it is the Sales desk on Settings → Routing.)
How saving works
In Rep assignment, and in the welcome message at the top of Your booking page, changes collect in the page's sticky save bar, and nothing is written until you click Save. The two are separate scopes on that one bar, so saving one never writes the other. The Hide header/branding switches in Links collect in the same save bar. In Appointment types, the form fields, and the rest of Links, each toggle, drag-reorder, and dialog saves on its own as you go. (Reminders are configured separately on Settings → Customer messages.)
Rep assignment and booking rules
Rep assignment
Turn Customers pick their rep on and customers browse your team and choose, which is good for showcasing the team. Off, AutoBook assigns each appointment to a rep for the customer, which is fair and faster to book.
Booking rules
How soon before an appointment a customer can book, and how far ahead they can book, are set by AutoBook. There is nothing to configure here. Each rep can add a longer Minimum booking notice for their own visits in their Availability. Ask support if a date range is wrong for your dealership.
Reminders
Appointment reminders are not on the Booking page. They live on Settings → Customer messages (under How customers reach you), next to confirmations and cancellations: a 24-hour reminder (email) and a 1-hour reminder (text, with email as a fallback), each with its own on/off. AutoBook sets when they go.
Appointment Types
The Appointment types section lists the options customers see when booking. Drag the handle on the left to reorder them; that order is the order shown on the booking page. Use the per-row Active toggle to hide a type without deleting it, Edit to change it, or the trash icon to remove it. New types are automatically assigned to staff at this dealership.
A type shared by every store in your group carries an All stores badge. Click Copy to this store to make this dealership its own copy that you can change without touching the other stores.
1
Add or edit a type
Click Add type (or Edit on a row). Set a Name and a Duration (15 min up to 2 hours), an optional Description of what the customer can expect, and pick an Icon (Test Drive, Service, Consultation, Finance, or General). Where it happens sets whether the visit is in person at the dealership, remote (call, text, or email, no visit), or the customer chooses; remote appointments leave the address and directions out of confirmations and reminders.
2
Optional: make it Lead Only (skip booking)
Turn on Lead Only (Skip Booking) to skip rep selection and the calendar entirely and just collect the customer's info. Then choose ADF Lead (sends the lead to your CRM) or Service Lead (for service requests, see below). Lead-Only types show a Lead Only (ADF) or Lead Only (Service) badge in the list.
3
Optional: redirect to an external booking system
For a non-Lead-Only type, turn on Redirect to External Booking and paste a URL (e.g. an outside service scheduler). Customers who pick this type are sent there instead of into the AutoBook calendar. This is mutually exclusive with Lead Only.
4
Save
Click Create Type / Update Type. Test Drive and Financing Discussion are seeded by default if a dealership has none.
Where a Service Lead goes
When your store books service through AutoBook (its own service calendar, or a connected dealer system), a Service Lead type opens AutoBook's service booking flow: the customer picks services from your Service menu, then a time. Either way the request opens a service ticket on your Service desk, and who is told (email, the app, or both) follows the Service requests row on Settings → Routing. If you point a service type at an external link instead, the page warns you that AutoBook's service booking won't run for customers who pick it.
The booking form
The rows below the welcome message in Your booking page are the fields a customer fills in when booking. Drag the handle to reorder fields (that's the order they appear on the form). Each row can have a Required toggle and an Enabled toggle. Custom fields you add are passed through in the Comments section of the ADF email sent to your CRM.
| Field type | Badge | What you can change |
|---|
First name, last name, email, phone | System | Always enabled (can't be turned off); you can still toggle whether each is Required. |
ADF standard fields | — | Added from the ADF Field tab (Contact Info, Customer Details, Vehicle, Finance). Map automatically to the correct ADF XML for your CRM. Toggle Required/Enabled; remove if allowed. |
Custom fields | Custom | Your own question with a label, placeholder, and Required toggle. Edit or delete anytime. |
1
Add a standard ADF field
Click Add field, stay on the ADF Field tab, pick a category, select a field, then Add field. Fields already on the form are greyed out as Added.
2
Add a custom field
Click Add field, switch to the Custom Field tab, enter the Field Name / Question and optional placeholder, set Required and Enabled, then Add field.
Watch for ADF validation warnings
If your field setup would break the lead sent to your CRM, a yellow warning appears below the fields: These fields will not reach your CRM as written:, followed by the list. Resolve the listed items so leads keep flowing to your CRM cleanly.
Service menu
The Service menu section lists the priced services customers can pick when they book service online: show or hide each service or a whole category, and star services into the Recommended shortlist that leads the menu. Hidden services stay bookable by phone. Editing needs pricing authority.
At the top of the section sits Propose live service times: off by default; when on, AutoBook Agent offers real open times from your PBS service calendar to a customer who wants service. If your store books service in PBS through AutoBook, AutoBook Agent books the time the customer picks; otherwise your service team confirms the final time. It needs PBS connected on Settings → Connections; until then the section says so and links there. Whether AutoBook Agent may quote a service price is a separate switch, on Knowledge Base → Service pricing.
Links
The Links section at the bottom of the page is the Booking Links manager: shareable, trackable URLs to your booking page, all scoped to the selected dealership. Each link has a Use this link menu to Open in New Tab, Copy link, Download QR Code, or Download Instructions (a text file containing the iframe snippet for your website).
Default booking page
Your store's main booking URL. Turn on Hide header/branding for a cleaner embed, then Save in the save bar.
Tracked links
Click Add Booking Link, name the source (e.g. Facebook, Google Ads), and it generates a tracked link. Insights reports bookings by source, so you can see which links bring customers in. Optionally turn on Direct to Appointment Type to skip the type-selection step.
Staff direct links
Each rep at the dealership has a personal link that pre-selects them as the salesperson, handy for email signatures and business cards.
Do these settings apply to all my dealerships?
No. Booking configuration is per dealership. Use the dealership switcher at the top of the left menu and configure each store separately: assignment method, types, form fields, the service menu and links are all independent. A type marked All stores is shared until you press Copy to this store.
Reminders are on but customers aren't getting them. Why?
Reminders are not configured on the Booking page. Check them on Settings → Customer messages. Make sure the 24-hour reminder and the 1-hour reminder are toggled on for the channel you expect (the 24-hour reminder goes by email; the 1-hour reminder goes by text with email as a fallback). Text reminders need your store's phone number set up (Settings → Phone & texting). If something still looks off, contact support@auto-book.ca or 647-786-0989.
What's the difference between a Lead-Only type and an external redirect?
Lead Only keeps the customer on your booking page but skips rep/calendar selection and just captures their info (sent to your CRM as an ADF lead, or handled as a service request). Redirect to External Booking sends the customer to an outside scheduling URL instead.
Can AutoBook Agent offer these booking links in chat?
Yes. AutoBook Agent offers booking links during conversations and uses its own tracked link, so Insights can show how many bookings come from chat.
