A tour of AutoBook on the web and in the app: the left menu (To do, Inbox, Sales pipeline, Service board, Deals, Appointments, Customers, Inventory, Appraisals, Activity, Rep review, Campaigns, Insights), Search, Ask AI and New, the account menu and Settings, switching dealerships, theme, and the app's tabs.
Everyone at your store (managers, sales reps, service advisors and admins) works in the same workspace. There's no separate rep portal; a rep just sees a shorter list than a manager, and each desk sees its own pages. Once you sign in you land on To do, and everything else is one click away in the left menu.
The left menu
At the top is your store row (your dealership's logo and name), then three buttons: Search (⌘K), Ask AI (ask a question out loud) and New (opens Quick add: Add customer, Add note, Add task, Book appointment). Below them are your pages, then a Chat section where New chat starts an Ask AI chat and your recent chats are listed. At the bottom are your name or photo (the account menu) and the theme button. Fold the menu down to icons with the arrow at the top; on a phone or narrow window, open it with the menu (☰) button.
| Page | What it's for | Who sees it |
|---|
To do | Your work list: Needs action (everything that needs a person), today's appointments, Updates and a While you were away recap. | Everyone |
Inbox | Every conversation across chat, text, email and phone, with a tab for each desk; where you reply with AutoBook Agent still on, or set a customer to Approve first. | Everyone |
Sales pipeline | The auto-built deal board: one card per person, no manual list to keep. | Sales reps and managers |
Deals | Deals being worked: worksheets, quotes and payments. | Sales reps and managers |
Service board | The service shop floor: requests, booked visits, cars in the shop and ready for pickup. | The service desk and managers |
Appointments | Bookings plus the leads, service requests and inquiries AutoBook Agent captured. | Everyone |
Customers | Every customer record and history (under Store). | Everyone |
Inventory | Your lot: the cars in stock, how long they've been there, and what customers asked about. | Everyone |
Appraisals | Trade-in appraisals: the car, its condition and photos, the market price and your offer. | Everyone |
Activity | The store's log, under Reports, with three views. All is a live timeline of what happened. What AutoBook Agent did lists what AutoBook Agent decided, newest first (managers can press Correct it on a follow-up). Setup changes is who changed what at the dealership, exportable to CSV. | Everyone (a rep sees their own customers; Setup changes: managers) |
Rep review | Under Reports: AutoBook's overnight review of how each rep handled the customers who needed them, with a rating, reasons and quotes. Reps see the same entry as My reviews, with only their own. | Managers review; each rep sees their own |
Campaigns | Proactive outreach: follow-up campaigns, win-backs for quiet customers, and service and lease reminders. (The rules behind them are Settings → Follow-ups.) | Managers only |
Insights | The store's numbers, on a board you build: bookings, sources, reply times, questions, and what AutoBook Agent decided. A rep sees it scoped to their own book. | Everyone |
Each person sees the pages for their desk
A sales rep gets To do, Inbox, Sales pipeline, Deals, Appointments, Customers, Inventory, Appraisals, Activity, My reviews and Insights. A service advisor gets Service board in place of Sales pipeline and Deals. Managers, and anyone on both desks, see all three, in the order Sales pipeline, Service board, Deals. Your desk at the dealership you're working decides; someone on neither desk (the front desk, say) sees none of the three. Campaigns is manager-only. In Activity, Setup changes is for managers. The Settings hub isn't in the left menu for anyone; managers open it from the account menu.
Old bookmarks still work: /AdminActivity opens Activity, /AdminSecurityLogs opens Setup changes, /AdminTeamCoaching opens Rep review, and /AdminPerformance, /AdminCoaching and /AdminAutonomyConsole land on Insights. Practice sparring is at /AdminPractice.
Getting around the AutoBook app
The tabs along the bottom are To do, Inbox, Sales (the Sales pipeline), Service (the Service board), Appts (Appointments), Search (search, and Ask AI behind its switch) and Me (your profile, availability, Notifications and, for reps, My reviews beside Performance; managers also find some team controls there).
- Sales reps see Sales and no Service tab.
- Service advisors see Service and no Sales tab.
- People on both desks, and managers, see both: seven tabs.
The app's To do count is the number on the AutoBook app icon. Most store settings, and the managers' Rep review page, are on the web.
Switching dealerships
The store row at the top of the left menu shows which dealership you're in. The Account Owner, admins and managers click it and choose Switch Dealership (when there are two or more) or Add Dealership. Everyone else sees a fixed label. Almost every setting is per dealership, so check the store row before changing anything.
Your account menu
Click your name or photo at the bottom of the left menu (on a phone, your avatar at the top right):
- Profile: your personal Account hub (profile, and for reps Availability and Calendar, plus Notifications and Security).
- Settings: (managers and admins) the dealership Settings hub.
- Billing: (Account Owner only) subscription and seats. Billing is group-wide.
- Product intro: replays the short tour.
- What's new: recent changes to AutoBook.
- Help Guide: opens this guide on the article for the page you're on.
- Report a bug and Contact support.
- Sign out.
The theme button beside your name switches Light, Dark or System, for your own view only.
The Settings hub (managers)
Managers and admins open Settings from the account menu. It has its own menu: Overview, Your store, Who handles what, AutoBook Agent, How customers reach you, What's plugged in and Account (Billing & Plan for the Account Owner, and Data & privacy). Almost every setting is per dealership, including Pause AutoBook Agent, which pauses only the dealership you're in. Billing is the group-wide exception.
Alerts live on the menu, not a bell
There's no notification bell. A red number on To do counts what needs you now, a number on Appointments counts today's visits, and a dot on To do marks unread Updates once the red number is clear. Questions from AutoBook Agent are To do rows, counted in its red number.
Is there a separate app or portal for reps?
No. Managers and reps share the same workspace; reps see a shorter list. There is also the AutoBook app for your phone, with To do, Inbox, Sales or Service (both for people on both desks), Appts, Search and Me tabs.
Why don't I see Sales pipeline or Deals?
Those pages are for sales reps and managers. A service advisor works from the Service board and the Inbox's Service tab instead.
Where did Follow-ups go?
The outreach page in the left menu is now Campaigns (managers only). The rules behind follow-ups are on Settings → Follow-ups.
Why don't I see a "Switch to Ops Portal" option?
That option is only for AutoBook platform staff. Dealership users have one portal.
How do I change between my dealerships?
Click the store row at the top of the left menu and choose Switch Dealership. Only the Account Owner, admins and managers can switch.
Where did the old Leads list go?
There isn't a manual leads list. The Sales pipeline is built automatically, one deal card per person.
Does dark mode change what other people see?
No. The theme is personal to your own browser.
