Campaigns has two tabs. Activity shows what AutoBook Agent's follow-ups have been doing: what is queued, what went out, what came back, and each reason it reaches out with the setting it runs at. Campaigns is where you build a one-off push on your own customers: pick who it reaches, preview the real counts, save a draft, launch, hold a share aside to measure lift, or test two message versions. How each reason runs is set in Settings › Follow-ups.
Campaigns in the left menu (under Reports) is AutoBook Agent's follow-up desk: the outreach AutoBook Agent starts on its own, plus the one-off pushes you run yourself. The page has two tabs, Activity (what has been happening) and Campaigns (what you build). Nothing on this page changes how AutoBook Agent's standing follow-ups behave; those switches are in Settings › Follow-ups.
Who sees it
Campaigns is for managers and admins. Sales reps don't see it; opening it directly sends them to To do. A campaign runs on the store you're currently in.
Activity: what AutoBook Agent's follow-ups have been doing
Four figures sit at the top. Queued to send is the live outbox count; its link opens those messages in the Inbox. Sent and Replies cover the window you pick (7, 30 or 90 days). Reviewer refused is AutoBook Agent's own second check: how many drafts it read and how many it threw away before anyone saw them. Approvals and staff questions stay on To do and in their conversations.
Below the figures is one line per reason AutoBook Agent reaches out, split into Sales desk and Service desk, in the same order as Settings › Follow-ups. Each line shows the setting it runs at (Off, Approve first or On) and five counts: Written, Held (waiting for a person), Rehearsal (retired) (written during the old setup rehearsal and never sent), Sent and Replied. A dash means nothing happened. The Service desk lines include Quiet service request follow-up: AutoBook Agent's follow-up, from the Service desk, on an open service request the customer went quiet on.
Held and rehearsal messages never count as Sent
A message AutoBook Agent wrote but did not deliver (waiting for approval, or written during the retired rehearsal) has its own column, so Sent only counts customers it actually reached.
The setup rehearsal is over
Every reason now runs at Off, Approve first or On. A reason that was left rehearsing reads Off until someone turns it on in Settings › Follow-ups.
Unattributed
A touch that can't be matched to a reason gets its own Unattributed line rather than being dropped.
Starting a new campaign
A campaign is a targeted, time-boxed push: a slice of your book, some guidance for AutoBook Agent, and a launch button. It is not a blast. Every message is written for that one customer, and every send follows the same consent, quiet-hours and pacing rules as everything else.
1
Open the form
On the Campaigns tab, press New campaign. Or pick a starter under Start from a ready-made list (Quiet leads, 30+ days, Warm leads gone quiet, Ready buyers gone cold), or press Use template under Templates (90-day dormant leads, Lost-lead winback, Orphaned no-rep leads, Lease-end next quarter). Starters and templates only pre-fill the form.
2
Name it and pick who it reaches
Give it a Name. With the Quiet leads (your book) audience, narrow with Quiet for at least (days), Deal stage (Exploring, Engaged, Ready), Came in via (Website chat, Text (SMS), Email) and Vehicle interest contains (for example EV9). Leave a field blank to ignore it.
3
Or invite back lapsed service customers
When your store has PBS connected with data sync on, the form has an Audience picker. Choose Lapsed service (DMS), then set Lapsed at least (months) and Lapsed at most (months) (9 and 15 to start) and an optional Total contacts cap. For an always-on version, switch on the lapsed-service reason in Settings › Follow-ups instead.
4
Add guidance (optional)
Guidance for AutoBook Agent (optional) steers the wording, for example "0.9% financing ends June 30, mention it where it fits." It is woven into each message, never sent word for word.
5
Hold out a share (optional)
Hold out a share to measure lift (optional): a percentage enrolled and tracked but never contacted. Leave it at 0 to contact everyone.
6
Try two message versions (optional)
Under Message versions (A/B, optional), press Add version and give each a label and guidance. The contacted group is split evenly and each version's replies and bookings are tracked.
7
Preview the list
Press Preview the list for Eligible, Excluded for consent and Projected sends/day. These come from the same code that does the enrolling, so what you see is what runs.
8
Save, then launch
Create draft saves without sending anything. When you're ready, press Launch on the card and confirm. The list locks at launch: people who only qualify later are not added (the standing reasons catch them).
Pausing, editing or ending a campaign
| Button on the card | What it does |
|---|
Launch | Starts a draft, or restarts a paused campaign. Asks you to confirm first, because it reaches customers. |
Pause | Stops lining up new people until you launch it again. |
Edit | Changes the campaign while it is a draft, active or paused. |
Done | Ends an active or paused campaign for good. |
Delete | Removes a draft that never launched. Can't be undone. |
A campaign also finishes by itself once everyone on its locked list has been worked. A card marked System pool is a standing lane the system runs (lost-lead winback, lapsed service, lease maturity); there is nothing to edit there, because those are reasons you control in Settings › Follow-ups.
Who a campaign can reach
Only your store's own customers
If your store shares a PBS customer list with other stores in your dealer group, being on that list does not make someone your customer. A campaign only reaches people who are your store's own: a repair order, a deal or a service appointment at your store, or a conversation, visit or request with you.
Consent, checked twice
Consent is checked when people are enrolled and again at send time. Your STOP list always wins, and a customer who opted out of a channel is not reached on it.
PBS Unsubscribed
When PBS marks a customer Unsubscribed for texts, email or phone, no campaign message goes out on that channel. PBS Marketing Unsubscribed counts as "no promotions".
Customers someone stopped
Stop follow-ups on a customer's record keeps sales, win-back and reactivation campaigns away from them until they reply. Pause follow-ups holds everything AutoBook Agent starts until the date you picked.
Reading a campaign card
| On the card | What it means |
|---|
Who it reaches | The slice you picked, in words, plus the share kept aside and the number of message versions. |
Enrolled | Everyone on the locked list, whatever stage they've reached. |
Sent / Replied / Booked | What went out, what came back, and what turned into an appointment. |
Lined up | Queued for their next touch. A campaign works through its list a small batch at a time. |
Kept aside | The control group: enrolled and tracked, never contacted. |
Worked, not sent | AutoBook Agent composed something that didn't reach the customer: it's waiting for approval, or was written during the retired rehearsal. |
List locked / Last pass | When the list was frozen (and its size), and when the campaign last ran. |
How campaign messages actually go out
Staggered, never blasted
Each campaign lines up at most about 10 people an hour, so sends spread across days and never crowd out follow-up of fresh leads.
Follows the normal rules
Every message goes through the standard send path: consent re-checked, quiet hours honoured, daily caps applied, STOP and unsubscribe wording attached.
Steps aside for a person
If someone takes over the conversation, the customer replies, or the deal closes, the campaign steps aside. AutoBook Agent never talks over a rep working the customer.
Channels
Campaigns go out by text and email, on whichever of those your store has turned on (texting needs a store number, set on Settings › Phone & texting; email is set on Settings › AutoBook Agent Autonomy). If neither is on, a campaign enrolls people but holds its sends. Calls are never a campaign channel.
Measuring campaign results
View results on a card opens the funnel. Holdout comparison puts the contacted group's booking rate next to the kept-aside group and shows the lift (the difference). Booking is used because it is the one outcome you can measure for people you never messaged. Message versions shows each version's sent, reply and booked counts side by side. Enrollments lists each person and their state, with a link into the Inbox.
Rates only appear once a group is big enough to mean something. Below that you see the raw fraction (for example 3 / 8) with a small-sample note, and versions are not ranked.
The settings Campaigns respects
Campaigns have no send limits of their own; they inherit your store's channel controls. Each is per dealership, so a busy sister store never spends your budget.
Where do I turn a follow-up reason on or off?
Settings › Follow-ups. This page reports; that page decides. Each reason is Off, Approve first (AutoBook Agent writes it, a person approves before it sends) or On.
How do I stop a campaign?
Press Pause on its card to stop lining up new people, or Done to end it for good. A draft that never launched can be deleted.
What counts as a "quiet" deal?
An open deal with no pending rep attention and no follow-up already scheduled, untouched for at least your Quiet for days if you set it. Quiet deals that belong to a rep are eligible, and the rep is told when a campaign picks their customer up.
Why is my eligible count lower than I expected?
People who don't pass the consent rule land in Excluded for consent. Deals with a pending follow-up or a spent follow-up budget aren't eligible. Customers of other stores in your group are never included. On a very large book the preview covers the oldest ~500 quiet deals.
Will the same person get two campaigns?
A customer is enrolled in a given campaign once, and each deal has a hard cap on the follow-ups AutoBook Agent starts. A campaign never resets that cap.
Is the guidance text sent to the customer?
No. It steers AutoBook Agent's wording and is never sent word for word.
