Open your account (your name and photo → Profile) to update your photo, name, title and phones; choose which alerts reach you, with quiet hours, whether you get email copies of alerts, and which staff emails you get, on Notifications; and change your password, sign out everywhere or set up two-factor sign-in on Security.
Your own account lives behind your name and photo at the bottom of the left sidebar (on a phone, your avatar in the top-right corner). Click it, then Profile. The account pages have their own left-hand menu: Profile (your photo and contact details), Notifications (which alerts and emails reach you) and Security (sign-in email, password, sign out everywhere, two-factor sign-in). Sales reps also see Availability and Calendar. Everything here is personal to you and doesn't change anyone else's settings.
Updating your name, photo or phone number
1
Open your Profile
Click your name and photo at the bottom of the left sidebar (on a phone, your avatar in the top-right), then Profile.
2
Edit your details
In About you, update First name, Last name, Job title, Mobile number and Personal cell number. Your mobile number is for callbacks and for your team to reach you; store calls ring the AutoBook app, never this number. Your personal cell is for your team only and never shown to customers.
3
Change your photo
Under Profile photo, click Change photo to pick or take a headshot (under 5MB), then frame it. It becomes your avatar everywhere in AutoBook. If you don't see the button, your dealership manages staff photos for you.
4
Save
Click Save changes in the bar at the bottom of the page, or Discard to undo.
Your dealerships are assigned, not edited here
The stores you work at show on one line on the Profile page, Assigned dealerships · Store A · Store B, with a Manage link to Staff & Roles, where they are set.
Changing your password
1
Open Security
Your name and photo → Profile, then Security in the left-hand menu.
2
Start the change
Click Change password next to Password.
3
Enter your passwords
Type your Current password (and your Two-factor code if two-factor sign-in is on), then a New password of at least 8 characters including a number, and Confirm new password.
4
Update
Click Update password. It changes right away and you stay signed in.
Your sign-in Email address is shown on Security but can't be edited there: contact support@auto-book.ca (or 647-786-0989) to change it. Sign out everywhere ends your session on every device, including the AutoBook app on your phone. Use it if a phone or laptop is lost or handed on. Forgot your password and can't sign in? Click Forgot password? on the sign-in page, or ask an administrator to Send password reset from your staff sheet.
Setting up two-factor sign-in
1
Open Security
Your name and photo → Profile → Security, section Two-factor sign-in.
2
Add your authenticator
Beside Authenticator app, click Set up. Scan the QR code with an authenticator app (Google Authenticator, Microsoft Authenticator, 1Password or similar), or type the key, then enter the 6-digit code it shows.
3
Sign in with it
From then on, signing in on the web or the AutoBook app asks for a code after your password.
The line under Authenticator app says whether it is required for you: it is required for account owners and admins (with the date it starts, if it hasn't yet) and optional, but recommended, for everyone else. To switch phones, click Remove on the old authenticator and set up the new one. Lost your phone and can't sign in? Contact support@auto-book.ca: after we confirm it is you, we remove the old authenticator so you can sign in and set up a new one.
Choosing which notifications reach you
Open your name and photo → Profile → Notifications. Each category has its own switch: Questions, Hand-offs & Approve first, Calls & callbacks, Bookings & appointments, Leads, Service, Assignments, and System & manager alerts. Switch a category off to stop its push alerts. Turning an alert off never hides the work itself: it stays on your To do list. Click Save changes to apply.
Each thing that needs you sends one push, never a reminder about the same thing, and the number on the app icon is your To do count. AutoBook never texts you about alerts.
Setting quiet hours
At the top of Notifications, turn on Quiet hours and set the Quiet window (on the store's clock). Pushes in every category pause during that window. High-urgency override lets urgent alerts through anyway. To treat one category differently, open its Exceptions: Mute FYI keeps the alerts that need action and silences the for-your-info ones, and Quiet hours there gives that category its own window. Click Save changes.
Getting email copies of your alerts
Email copies of alerts, under Alerts by email on Notifications, sends an email copy of each alert for when the app doesn't reach you. Until you choose, a copy goes out only when an alert's push did not reach your phone, so if you aren't on the app yet you get one copy per alert. Switch it on to get a copy of every alert, or off to get none, then Save changes. A copy is sent once per alert, never as a reminder, and each one has a Stop these email copies link.
Once alerts reach your phone, your To do page (or the app's To do tab) asks once: Alerts reach your phone now, so we'll stop the email copies. Stop email copies (or closing the message) leaves the setting on its default, so copies start again by themselves if the app stops reaching you. Keep email copies keeps a copy of every alert coming.
Turning off staff emails
Every email AutoBook sends you is listed under Emails from AutoBook on the same Notifications page, with where each one is switched off. Change a switch, then Save changes:
- Email copies of alerts (under Alerts by email): a copy of each alert, sent when the app doesn't reach you.
- Morning email (under Daily summary): an 8am email with your open work, and yesterday's numbers for managers. It goes to you whether or not you use the app, lists alerts that arrived while the desk was closed under Came in overnight, and is never sent empty. Anyone can turn it off.
- Appointment changes by email (under Appointment emails, sales reps): an email when an appointment is booked with you or cancelled.
- My Insights email (managers, on plans with Insights): Your email schedule sets whether your Insights report arrives weekly (every Monday, 8am) or monthly (the 1st, 8am), and which saved tiles are in it. Each person sets their own; there is no store-wide switch.
- Billing notices: sent when the store's payment fails, to whoever can update the card. They can't be turned off.
How do I change my sign-in email?
The email is read-only on Security. Contact support@auto-book.ca or call 647-786-0989 to have it changed.
Is there two-factor authentication?
Yes. Turn it on under Security → Two-factor sign-in with an authenticator app. It is required for account owners and admins.
Why didn't my change stick?
Changes on the account pages apply through the bar at the bottom of the page: make sure you clicked Save changes. That includes notification switches, Mute FYI and quiet hours.
How do I stop the 8am email?
Notifications → Daily summary → switch off Morning email, then Save changes.
Why did I get an email about an alert?
It is an email copy of an alert that the app didn't deliver to your phone, or you chose to keep copies. Turn them off with Email copies of alerts on Notifications, or the Stop these email copies link in the email.
Will AutoBook text me when something needs me?
No. Alerts reach you as one push in the app and a row on your To do, with an email copy when the push doesn't reach you. AutoBook never texts you about alerts.
Where do I manage which dealerships I'm assigned to?
They show on the Assigned dealerships line of your Profile page and are set on Staff & Roles (the line's Manage link) by an administrator.
