How AutoBook tells you about work: one notice per need, the To do count and dots in the menu, app pushes and the app icon number, desktop pop-ups, an email copy when the app can't reach you, the 8am morning email, and how to change your own notification settings on the web or the app.
AutoBook has one notification system for the web and the app. Anything that leaves a person something to do lands on To do under Needs action and stays there until the work is done. News that needs no reply lands under Updates and is cleared with Mark read. Turning an alert off never hides the work: it stays on To do.
One notice per need
When a customer needs you, you get one push and one row on To do. There are no reminders about the same thing and no pages to managers.
- The clock for each need runs on your working hours (your rota, else your desk's or the store's hours). Days off, holidays and leave never count.
- Your customers' work stays with you, even when you are off or on leave: it is not handed to someone else. Only a new lead (if you haven't touched it in time), a customer with no rep, and service-desk work move to whoever is working that desk.
- If the customer has a message waiting at the deadline, AutoBook Agent answers them with its best complete reply, so nobody is left waiting.
A normal alert that comes in while your desk is closed lands on To do right away, is listed in your morning email under Came in overnight, and pushes to you (or sends its email copy) when your desk opens, unless you have already seen it. Urgent alerts reach you at once.
The counts and dots in the menu
There is no bell. On the web, alerts show where you work them:
- The red number on To do is how many Needs action items are waiting for you. It counts items, not customers.
- A small dot on To do means unread Updates (a booking, a cancellation). It shows only once the red number is clear.
- The number on Appointments is today's visits (yours plus unassigned), by the store's date.
- Open questions from AutoBook Agent are Question rows on To do, counted in its red number.
In the app, the To do tab and the AutoBook app icon on your phone show the same number, and it updates even while the app is closed.
What you get notified about
| Category | Examples |
|---|
Questions | AutoBook Agent needs your answer before it replies to a customer. |
Hand-offs & Approve first | A customer asked for a person, a ready buyer, or a draft to approve for a customer you have on Approve first. |
Calls & callbacks | Incoming, missed and callback calls, and voice messages. |
Bookings & appointments | A customer booked, cancelled or moved a visit. |
Leads | A new lead, or a lead nobody has answered. |
Service | A service request for your service team, and a service visit booked, moved or cancelled. No DMS connection is needed. |
Assignments | A customer, ticket or visit was assigned to you. |
System & manager alerts | Store problems, such as a message that could not be delivered or a billing issue. |
Clearing a notification
1
Open To do
Click To do in the menu (or the To do tab in the app) to see everything under Needs action. The same rows show a red or amber word in the Inbox.
2
Do the work
Open the row and act: answer the question, reply, approve the draft, send the document. Doing the work clears it; just opening it does not.
3
Or clear it by hand
Press Done if you handled it another way, Dismiss if it needs nothing, or Snooze it for later. Updates clear with Mark read or Mark all updates read.
Web and app stay in sync
Clearing something on the web clears it on your phone too, and the other way round.
Turning notifications on or off, and quiet hours
1
Open your notification settings
On the web, click your name or photo at the bottom of the left menu, choose Profile, then Notifications. In the app, open the Me tab, then Notifications.
2
Pick what pushes to you
Turn each category on or off (Questions, Hand-offs & Approve first, Calls & callbacks, Bookings & appointments, Leads, Service, Assignments, System & manager alerts). Some categories also offer Mute FYI (keep the urgent ones, silence the for-your-info pushes).
3
Set quiet hours
Quiet hours pauses pushes across every category during one daily Quiet window. Leave High-urgency override on so urgent alerts still reach you. Under a category, Exceptions gives it its own quiet hours.
4
Emails
Under Alerts by email, Email copies of alerts decides whether you get an email copy of each alert. Morning email turns your 8am email on or off. Reps also have Appointment changes by email (an email when a visit is booked with you or cancelled). Emails from AutoBook lists every email AutoBook sends you and where to turn each one off.
In the app, when pushes can't reach your phone, a banner says so at the top of Me › Notifications and of To do. If your phone has not given AutoBook permission yet, tap Turn on notifications and choose Allow. If you turned notifications off for AutoBook, the banner's Open Settings takes you to your phone's settings to turn them back on. While pushes can't reach your phone, each category that is on says Not reaching this phone. Your choices are kept and start working once pushes are on. Open OS notification settings, at the bottom of the screen, opens your phone's own settings for AutoBook (for sounds and banners). On an iPhone that has never been asked, use Turn on notifications instead.
App pushes and desktop pop-ups
Install the AutoBook app and sign in, and allow notifications when asked. Your phone then gets a push for the same work that lands on To do.
On a computer, AutoBook can show a browser pop-up for urgent work when the AutoBook tab is not the one you are looking at. Your browser asks permission once; if you decline, everything still shows on To do. Pop-ups follow your category and quiet-hours settings, and clicking one opens the exact customer or task. Incoming calls use their own call banner.
Email copies of alerts
When a push does not reach you (no app installed, notifications off, or the push failed), AutoBook sends one email copy of that alert, never a reminder. AutoBook never texts you about an alert.
- Once alerts reach your phone, AutoBook asks once, on To do: Alerts reach your phone now, so we'll stop the email copies. Press Stop email copies or Keep email copies. If you stop them and the app later stops reaching you, the copies come back on their own.
- Change it any time with Email copies of alerts under Notifications, or the Stop these email copies link in any copy.
- Turning a category off stops its pushes and its email copies.
The morning email
Every morning at 8am (store time) AutoBook sends a summary email to everyone with work assigned or conversations they are holding, on the app or not. It is never sent empty.
- Everyone sees their open work, with alerts from the evening before under Came in overnight, and Conversations you're holding.
- Managers also get yesterday's numbers, what is Waiting on you, Conversations the team is holding, who is Away today, anyone not getting new work because they have not been seen in AutoBook, how many rep reviews wait on Rep review, and a Service block (yesterday's tickets and replies, and cars waiting for pickup or overdue).
- Advisors see how their service went yesterday inside an email that is already going to them.
Turn it off with Morning email in your notification settings, or the Stop the morning email link in the email itself.
Managers on a plan with Insights also find My Insights email on the same Notifications page: when their own weekly or monthly Insights email arrives and which saved tiles it carries. Turning it off stops only your email.
How do I stop getting so many notifications?
Open Profile → Notifications on the web (or Me → Notifications in the app). Turn off the categories you don't need, use Mute FYI to keep only urgent pushes, or set Quiet hours. The work still shows on To do.
Why does To do show no number even though I have Updates?
The red number counts only Needs action work. Updates such as a completed booking light the small dot on To do instead.
I'm not getting email copies of my alerts. Is something broken?
Probably not. An email copy goes out only when the push to your phone did not reach you, unless you chose to keep copies under Notifications. If the app is installed and your pushes arrive, there is nothing to copy. AutoBook never texts you about an alert.
Why didn't I get a reminder about something I missed?
There are no reminders: each need reaches you once. The row stays on To do until the work is done, and if the deadline passes AutoBook Agent answers a waiting customer; your customers' work stays with you.
Why didn't I get a desktop pop-up?
Pop-ups need your browser's permission, an urgent alert, and the AutoBook tab hidden behind another one. They also respect your quiet hours. Everything still shows on To do.
Do text, email and phone create notifications?
Yes, for every channel your store has turned on: chat, text, email and phone all reach you the same way.
