Set up email per dealership on Settings → Customer messages: the From name customers see, the email signature, and your read-only dealership address. Turning email on and how AutoBook Agent replies are on AutoBook Agent Autonomy.
Email in AutoBook is a full two-way channel: customers email your dealership, AutoBook Agent reads the thread and replies, and your reps can step in from the Inbox, the same as chat or text. The setup lives on Settings → Customer messages: the sender fields in Who messages come from, the Email signature section, and the Suppressed email addresses list. Everything except the suppressed list is set per dealership. Changing the sender name and signature needs the Configure AutoBook Agent permission (administrators by default).
Changing the email sender name
1
Open Who messages come from
Go to Settings → Customer messages. The first section is Who messages come from (the left rail calls it Who it's from).
2
Type the name
In Custom "From" name, type the name customers should see, for example "Maple Motors Sales". Leave it blank to use the dealership name; to go back to the dealership name later, clear the box.
3
Save
Press Save in the save bar at the bottom of the page.
The same section has Personalize automated messages with the assigned rep's name. On, automated texts and emails (confirmations, reminders) carry the assigned rep's name, or the dealership's when no rep is assigned. Off, every automated message comes from the dealership. Emails a rep sends or approves still go out as that rep. Live previews of both styles sit under the switch. Under it, Write in each rep's own voice decides whether AutoBook Agent's own texts and emails sound like the customer's rep (off by default: the dealership's voice); the Customer messages article explains it.
The sending address stays AutoBook's
All AutoBook email is delivered through SendGrid from noreply@auto-book.ca. The From name is yours; replies come back into AutoBook so they land in the right conversation. Every subject line is written by AutoBook, so there is nothing to edit there; the previews on Customer messages show the subject each email uses.
Turning email on is on another page
AutoBook Agent answers on every channel your store has turned on. Email is turned on in the Email row of Settings → AutoBook Agent Autonomy, where you also pick how it replies (Off, Approve first or On). While email is off, paused or on Approve first, a status line above the sender fields on Customer messages says so and links there. On Approve first, the page also shows how many AutoBook Agent drafts are waiting in the Inbox.
Your dealership email address
In Who messages come from, Your dealership email address is read-only: AutoBook assigns it (it looks like yourstore@inbox.auto-book.ca). Use the copy button to put it on your website, signs or listings. Mail sent there opens a conversation in your Inbox. Until email is enabled for the dealership, the field says the address will appear once it is.
Changing the email signature
Go to Settings → Customer messages, section Email signature. The signature goes on AutoBook Agent's email replies and on emails your reps send from the Inbox, with a live preview as you change it. Rep details (name, title, direct number, photo) come from each rep's staff profile, set on Settings → Staff & Roles. On AutoBook Agent's own replies the rep name is left off (your logo and dealership phone identify you). Press Save when done.
| Control | What it does |
|---|
Enable signature | Turns the whole signature on or off. |
Sign-off | The closing line, for example "Best,". Uses "Best," if left blank. |
What the signature includes | One list of switches, in the order the lines appear: Dealership name, Rep's title, Rep's direct number, Rep's photo, Logo, Phone, Address, Booking link, Hours. A line shows only when its switch is on and the detail exists. The logo is your dealership logo from Branding; upload a Signature image to use a different one. |
Custom line | A line of your own, for example a current promotion. |
Legal / disclosure line | A line required by policy, placed last. |
How the email channel works day to day
Replies from AutoBook Agent
Customers email your dealership address and AutoBook Agent answers in the thread. Whether it sends on its own or holds a draft for a rep is the Approve first or On choice on AutoBook Agent Autonomy. On Approve first, drafts wait in the Inbox.
Reps reply, or approve first
Any rep can open an email thread in the Inbox and reply from the box; AutoBook Agent stays on after the reply. To see AutoBook Agent's messages to that customer before they go, set them to Approve first with the switch on the reply box. See the Inbox article for details.
Sales or Service
A new email to your store address starts with no desk and is filed with Sales or Service at the customer's first real topic, then stays there. A new email from the same customer within a day continues their latest email thread. If they raise the other desk's topic, AutoBook Agent handles it in the thread and the other desk follows up from its own number.
Attachments
On an email reply in the Inbox, reps can attach files with the paperclip (up to 10 files, 10 MB each, 21 MB total). Files customers send show on the thread.
Appointment and lead emails
Confirmations, reminders and lead replies are short, personal notes, not designed templates. Their look comes from your Email signature. The full list of what customers receive, with previews, is further down Customer messages.
CASL consent
AutoBook tracks each customer's email consent. When a rep starts a brand-new email to a customer from the Inbox, AutoBook records first-touch implied consent automatically. Consent and the channel's on/off are managed on AutoBook Agent Autonomy, not on Customer messages.
Unblocking an email address (unsubscribes and bounces)
Marketing email always carries a working unsubscribe link, and the mailing address in the footer comes from your dealership's address on Settings → Dealership. There is nothing to set for either.
Addresses that unsubscribed, complained, or kept bouncing are listed at the bottom of Settings → Customer messages under Suppressed email addresses, next to Blocked numbers. To unblock one, press Remove on its row, then Remove block in the dialog. Only do this when the customer asked to be re-subscribed, or the address has been corrected. This list is shared across your whole dealer group, and managing it needs the manage-team-customers permission (managers have it).
Why can't I turn email on from Customer messages?
The email channel's setting (Off, Approve first or On) lives on Settings → AutoBook Agent Autonomy. When email isn't fully on, Customer messages shows a status line above the sender fields with a link there.
Why is my dealership email address greyed out?
It is read-only: AutoBook assigns it. If it's blank, email isn't enabled for this dealership yet; it appears once your store turns email on.
I don't see the From name or the signature.
Both need the Configure AutoBook Agent permission (administrators by default). Others see the read-only store address and status line only.
Does the signature show on every email?
It goes on AutoBook Agent's email replies and on emails your reps send from the Inbox. Booking confirmation, reminder and cancellation emails are personal notes whose look comes from the same signature.
A customer wants their emails to stop. What do I do?
They can use the unsubscribe link in any marketing email, or tell AutoBook Agent in the conversation; either stops the email they asked about. To undo a block later, open Settings → Customer messages, find them under Suppressed email addresses, press Remove and confirm.
Are these settings shared across our group's stores?
No. The From name, signature and address are per dealership. The Suppressed email addresses list is the exception: it is shared across the whole dealer group, and says so on the page.
