Set up your own account (your name and photo → Profile): sync your Outlook calendar on Calendar, choose your alerts, email copies of alerts, appointment emails and the morning email on Notifications, change your password on Security, and read your own reviews under My reviews.
Your own account pages open from your name and photo at the bottom of the left sidebar (on a phone, your avatar in the top-right) → Profile. The left-hand menu there has Profile, Availability (your hours, time off and Accept bookings), Notifications (alerts and emails), Calendar (Outlook sync) and Security (password). These settings are personal to you and don't affect anyone else on your team.
Setting your hours, time off and Accept bookings
Your name and photo → Profile → Availability holds your weekly hours, lunch break, time off and the Accept bookings switch (whether customers can book you). Edit, then click Save changes. In the app: Me → Availability. See Setting your availability in this guide for the details.
Connecting your Outlook calendar
Connecting your calendar means every appointment booked with you appears automatically in your personal calendar, with all the details filled in. Outlook is the only calendar AutoBook syncs.
1
Open Calendar
Your name and photo → Profile, then Calendar in the left-hand menu.
2
Connect Outlook
Click Connect next to Outlook Calendar. You'll be sent to Microsoft to sign in and allow calendar access, then returned to AutoBook.
3
Confirm it's connected
When it works you'll see a green Connected badge, and new appointments sync automatically.
4
Disconnect any time
To stop syncing, click Disconnect next to Outlook Calendar. Your appointments stay in AutoBook; they just won't keep syncing to Outlook.
Block my booked times (optional). Once Outlook is connected, a second switch appears: Block my booked times. Turn it on and busy events on your Outlook calendar stop AutoBook from offering those times to customers, within 15 minutes. Connecting Outlook alone does not do this: it only sends your appointments out. Before you turn it on, click Show what this would block to see how many upcoming events it would take out of your bookable time.
Google Calendar is not available
Outlook is the only calendar AutoBook syncs. Google Calendar is not supported and cannot be connected. If you see Outlook integration is not configured when you try to connect, contact support@auto-book.ca or call 647-786-0989.
Choosing which emails you get
Every email AutoBook sends you is listed under Emails from AutoBook on the Notifications page, with where each one is switched off. Flip a switch, then click Save changes.
- Email copies of alerts (under Alerts by email): an email copy of each alert, for when the app doesn't reach you. Until you choose, a copy goes out only when the push didn't reach your phone; switch it on for a copy of every alert, or off for none. Once alerts reach your phone, To do asks you once: Stop email copies or Keep email copies. Stop leaves it on the default, so copies come back by themselves if the app stops reaching you.
- Appointment changes by email (under Appointment emails): on, you're emailed when an appointment is booked with you or cancelled; off, you rely on the app and your To do list.
- Morning email (under Daily summary): the 8am email listing your open work, whether or not you use the app, with alerts from while the desk was closed under Came in overnight. It is never sent empty.
AutoBook never texts you about alerts, and there are no reminder emails before an appointment: your To do list, your calendar and the appointment record already carry that timing.
| Notification | When you get the email |
|---|
Appointment changes by email | When someone books an appointment with you, and when a customer cancels one |
Choosing which push alerts you get
Also on Notifications, each kind of alert has its own switch: Questions, Hand-offs & Approve first, Calls & callbacks, Bookings & appointments, Leads, Service, Assignments, and System & manager alerts. Turn on Quiet hours at the top to pause pushes during a daily window (High-urgency override still lets urgent ones through), and use a category's Exceptions to Mute FYI alerts. Switching an alert off never hides the work: it stays on your To do list. Click Save changes. In the app: Me → Notifications.
Each thing that needs you sends one push, never a reminder about the same thing, and the number on the app icon is your To do count.
Changing your password
You change your password right on the Security page; no sign-out and no email reset needed. Forgot it and can't sign in? Click Forgot password? on the sign-in page.
1
Open Security
Your name and photo → Profile, then Security in the left-hand menu.
2
Start the change
Click Change password next to Password to reveal the fields.
3
Enter your passwords
Type your Current password (and your Two-factor code if two-factor sign-in is on), then a New password (at least 8 characters, including a number), and Confirm new password.
4
Update
Click Update password. The change applies immediately and you stay signed in.
Two-factor sign-in
You can add an authenticator app under Security → Two-factor sign-in on the web (click Set up). Once it is on, signing in (on the web or in the app) asks for the 6-digit code from the app after your password. Set it up on the web; the AutoBook app only asks for the code. Lost your phone? Contact support@auto-book.ca to have the old authenticator removed.
Reading your reviews
1
Open My reviews
On the web, open My reviews in the left menu. In the app: Me → My reviews, beside Performance.
2
Read a review
Each review is one customer who needed you, rated 1 to 5 with the reasons and quotes from the conversation. You see it as soon as it is written. If your manager disagreed with the rating, it says so.
3
Answer your manager
When a manager messages you about a review, it lands as one row on your To do, marked Rep review. Do what it asks and press Done; you can add a short reply.
A review is written overnight for each time a customer needed you: a handoff, a question from AutoBook Agent, a customer on Approve first, a service request, a promise or task, or a visit to log. It waits until your part is over: the job is done, or 48 hours pass with nothing more said. A customer still waiting then counts as Dropped; a first touch after the deadline counts as Late. The review reads every channel, including call transcripts. Conversations AutoBook Agent handled alone are not reviewed. My reviews is read-only.
Why you can't set your own time zone
You don't set a time zone. Your hours, your shifts and your appointment times all follow your dealership's time zone. If a time looks wrong, ask an admin to check the dealership's time zone.
Why can't I connect Google Calendar?
Outlook is the only calendar AutoBook syncs. Google Calendar is not supported.
Do my appointment email changes save automatically?
No. Flip the switch on the Notifications page, then click Save changes in the bar at the bottom of the page.
Where do I change my password?
On the Security page (your name and photo → Profile → Security), click Change password, enter your current password, then a new one (at least 8 characters, including a number), and click Update password. No sign-out or email reset needed.
Who sees my reviews?
You see your own under My reviews, and your managers see them on Rep review. Other reps don't see yours.
The time zone shown is wrong. How do I fix it?
Times follow your dealership's time zone, not your own, and reps don't set one. If it looks wrong, ask an admin to check the dealership's time zone.
